Resource Guide

Everything you need to know about using Reserve — whether you run a space, book rooms as part of a company, or drop in as a guest.

Reserve meets you where you already work. You can book a resource three ways — straight from the dashboard, by email from any calendar invite, or with the Outlook add-in. Pick whichever fits your workflow; they all hit the same availability and confirmation system.

1 · From the Website / Dashboard

Sign in and open Resources

Log in to your workspace and go to the Resources page. Filter by type, date, capacity, or amenities to find the right room, desk, or piece of equipment.

Pick a slot on the grid

Open a resource to see its weekly availability grid. Drag or click to select your start and end time — occupied slots are clearly marked.

Confirm

Review the summary and confirm. Instant resources are booked immediately; approval-required resources notify you once an admin reviews the request.

Manage everything from your Bookings page afterwards — reschedule, cancel, share, or re-book in a couple of clicks.

2 · By Email — add the resource as an attendee

Grab the resource's booking email

Every bookable resource has its own booking email address, shown on the resource page. You can even save it as a contact (vCard) so it's one tap away in Outlook or Gmail.

Invite it like a colleague

Create a normal meeting in Outlook, Google Calendar, or Apple Calendar at the time you want, and add that booking email as a required attendee — exactly like inviting a person.

Reserve replies with a decision

Reserve reads the invite, checks availability, and emails you back: confirmed, or — if the slot is taken — a note with the free windows that day. The reservation shows up in your dashboard automatically.

Need to move or cancel it? Just reschedule or delete the meeting in your calendar and re-send the update — Reserve processes the change and confirms by email. No dashboard visit required.

3 · With the Outlook Add-In

Install it once

Install the Reserve add-in from your workspace settings — sideload it yourself, or have your IT admin push it to the whole organisation from the Microsoft 365 admin centre.

Open it from any calendar event

Create or open a meeting in Outlook and click the Reserve button in the ribbon. The add-in reads the event's time and shows the resources that are free for that slot.

Book without leaving your inbox

Pick a resource and click Book. The add-in writes the booking back into your Outlook event — subject, location, and the resource added as an attendee — so the calendar and Reserve stay in sync.
