Resource Guide

Everything you need to know about using Reserve — whether you run a space, book rooms as part of a company, or drop in as a guest.

Setting Up Your Space

Create your account

Register at reserve.hisland.com with your work email. Choose 'Space Owner' during onboarding to unlock the full management dashboard.

Choose a plan

Select a subscription plan that matches your space size. Plans differ by the number of active resources, tenant companies, and monthly bookings. All plans include a 14-day free trial.

Configure your workspace

Set your workspace name, upload a logo, configure your timezone, and set your default currency. These settings appear to tenants and guests on booking pages.

Customise your brand

Upload brand colours and a logo under Settings → Branding. Reserve will apply these to your public booking pages and confirmation emails.

Adding Resources

Create resource types

Navigate to Resources → New Resource. Choose from Conference Room, Hot Desk, Parking Space, Cabin, or create a custom type. Each type has tailored availability and pricing options.

Add photos and details

Upload up to 8 photos per resource. Add a description, capacity, amenities (whiteboard, projector, standing desk, EV charger, etc.), and floor/location.

Set pricing and availability

Configure an hourly, half-day, or full-day rate. Set your available hours per day and specify blackout dates for maintenance or holidays.

Choose booking rules

Select Instant Booking (auto-confirm) or Approval Required (you review each request). Set minimum and maximum booking durations and any advance-booking window.

Managing Tenants

Invite a tenant company

Go to Tenants → Invite. Enter the company name and admin email. They'll receive an invitation to create their company account under your workspace.

Set domain auto-join

Optionally add a verified email domain (e.g. @acmecorp.com) so that anyone with that domain is automatically placed into the correct tenant company on sign-up.

Track tenancy lifecycle

Tenants have a status: Active, Suspended, or Expired. You can suspend access immediately or set an expiry date. Suspended tenants cannot make new bookings but can view existing ones.

Booking Management

Review pending approvals

Bookings requiring approval appear in your Approvals queue. Review the request, check for conflicts on the calendar, and approve or decline with an optional message.

Use calendar view

The calendar gives a resource-by-resource view of all bookings. Filter by resource type, date range, or tenant company. Export to CSV for reporting.

Make bookings on behalf of users

Admins can book any resource for any user directly from the calendar. Useful for recurring events or VIP arrangements.

Analytics and Billing

The Analytics dashboard shows utilisation rates per resource, peak booking hours, tenant activity, and revenue from paid bookings. All charts are filterable by time period. Subscription invoices and billing history are available under Settings → Billing, powered by Polar.
